Event Details

EIV Policies and Procedures, Staff Documents Required with HOTMA Highlights

OVERVIEW

This session provides a comprehensive, compliance-focused overview of developing and implementing effective EIV Policies and Procedures, including required components, staff responsibilities, and critical HOTMA updates. Participants will learn how to properly structure policies, safeguard sensitive data, and align EIV processes with HUD requirements while avoiding common Management and Occupancy Review (MOR) findings. The session also covers required staff documentation, user access requirements, and best practices for maintaining compliance across all aspects of EIV usage. EIV compliance is one of the most heavily scrutinized areas during HUD reviews, and weak or incomplete policies are a frequent source of findings. This session will help you:

  • Build or refine policies that actually meet HUD expectations
  • Understand how HOTMA changes impact your current procedures
  • Ensure staff are properly trained, certified, and documented
  • Protect sensitive tenant data and avoid security violations
  • Reduce audit risk and prevent costly compliance findings

  • Explain HOTMA-related changes impacting EIV processes, including report frequency and verification requirements.
  • Apply HUD requirements for safeguarding EIV data, including technical, administrative, and physical security measures.
  • Determine required staff documentation, access levels, and certification requirements for EIV system users.
